Scheduling Meetings

Schedule virtual meetings with tenants or property managers, add Google Meet links, and track meeting status from your dashboard.

Before you start

The Meetings page lets you schedule, start, and track virtual meetings with tenants, property managers, or anyone involved in your estate operations. Meetings are separate from the appointments system (which handles inspections and property viewings).

Landlords and estate managers who need to hold virtual meetings about rent, maintenance, lease renewals, or any estate business.

What you’ll get done

A meeting scheduled with the right attendees, optionally with a Google Meet link, and an understanding of how to manage it through to completion.

Steps

1. Open the Meetings page

Click Meetings in the sidebar. The page shows three tabs: Upcoming, In Progress, and Past.

2. Click Schedule Meeting

Click the Schedule Meeting button in the top right. A dialog opens with the meeting form.

3. Fill the meeting details

The form asks for:

  • Title. A short description of the meeting purpose.
  • Description. Optional context for attendees.
  • Meeting type. Choose from: General, Property Viewing, Maintenance, or Emergency. Each type gets a colour-coded badge.
  • Start and end time. Set both in Africa/Lagos timezone.
  • Location or meeting link. Paste a Google Meet, Zoom, or any URL here.
  • Attendees. Add the people who should join.

4. Submit

Click to schedule. The meeting appears in the Upcoming tab and attendees receive notifications.

5. Start the meeting

When the meeting time arrives, only you (the organiser) see a Start Meeting button. Click it to move the meeting to In Progress. Attendees see a Join Meeting button that appears 15 minutes before the start time, linking to your meeting URL.

6. End the meeting

When done, click End Meeting. The meeting moves to the Past tab with status Completed.

Searching and filtering

Use the search bar to find meetings by title or description. Filter by status (Scheduled, In Progress, Completed, Cancelled) or by type (General, Property Viewing, Maintenance, Emergency).

If something goes wrong

Join Meeting button does not appear for attendees. It only shows within 15 minutes of the start time, and only if you added a meeting link.

Meeting stuck in “In Progress”. Only the organiser can end a meeting. If you forgot to end it, find it in the In Progress tab and click End Meeting.
